Remote Senior Property Maintenance Coordinator

About the role

We are looking for a detail‑oriented, proactive Senior Property Maintenance Coordinator to manage all maintenance activities for our remote portfolio. This role ensures a seamless process that enhances the experience for property owners and tenants while supporting our internal team.

Key responsibilities

• Receive, document, and manage work orders; communicate with vendors, owners, and tenants via phone and email.
• Schedule, coordinate, and follow up on service requests and work order completions; review and attach invoices to the corresponding orders.
• Ensure maintenance activities meet established timelines and schedule inspections and semi‑annual property surveys.
• Manage vendor onboarding, maintain updated records, and develop strong relationships with new and existing vendors.
• Provide excellent customer service to residents, owners, and team members; qualify incoming work orders through exploratory questions and basic troubleshooting.
• Maintain consistent follow‑up on tasks, respond promptly to calls, emails, and messages, and collaborate with internal team members to support operational efficiency.

Required profile

• Several years of experience handling maintenance requests in a property management setting.
• Solid knowledge of property management or maintenance coordination.
• Experience with property management software such as Rentvine, Aptly, AppFolio, or Propertyware.
• Ability to interpret maintenance scopes, estimates, and invoices.
• Strong English verbal and written communication skills.
• Excellent decision‑making, prioritization under pressure, and troubleshooting abilities.
• Highly reliable, organized, self‑directed with strong follow‑through.
